  1. Job Purpose

The Executive Assistant provides high-level administrative and operational support to the CEO. The role is pivotal in ensuring seamless communication between departments, coordinating with government and external entities, and ensuring that all departmental operations align with the company’s approved policies. This position requires exceptional organizational skills, professionalism, and a solid understanding of project management and administrative operations.

  1. Key Responsibilities
  2. Policy Compliance & Development:
  • Monitor and follow up on departmental compliance with company policies and operational controls.
  • Regularly review company policies and propose necessary amendments to align with business needs.
  • Submit periodic reports to the CEO regarding the implementation and effectiveness of internal procedures.
  1. Executive Support & Coordination:
  • Track the implementation of management decisions across all departments.
  • Coordinate internal and external meetings, prepare agendas, and document minutes of meetings (MoM).
  • Organize and manage the CEO’s calendar, ensuring it is constantly updated.
  • Review all incoming and outgoing documents and correspondence before presentation to the CEO.
  1. Operations & External Relations:
  • Act as a liaison with government agencies and external companies as directed by the CEO.
  • Provide administrative oversight for the office and the company’s general premises.
  • Oversee the daily flow of administrative tasks and monitor the progress of operational projects.
  1. Integrated Departmental Support:
  • Support management in various administrative functions, including Human Resources (HR), Operations, Project Management, and Compliance.
  1. Qualifications & Requirements
  2. Educational Background:
  • Bachelor’s degree in Business Administration or a related field.
  1. Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Expertise in task and project management tools (e.g., Trello, ClickUp).
  • Professional report writing and correspondence management.
  • Good command of English (written and spoken).
  1. Personal Skills:
  • Strong knowledge of executive and administrative practices.
  • Proven experience in project management coordination.
  • High-level organizational and time-management skills.
  • Excellent communication skills (written and verbal).
  • Ability to make decisions within delegated authority.
  • Strong attention to detail and analytical thinking.
